1. Introduction

ASD Support UK ("we", "our", "us") operates the Driver Booking App at booking.asdsupport.co.uk. This application is for internal use by authorised ASD Support UK staff only. This policy explains how we collect, use, and protect your information when you use our transportation management service.

2. Information We Collect

Google Account Data

When you sign in with Google, we receive:

  • Your name and email address
  • Google profile picture
  • Google Calendar access (to read and create booking events on your behalf)

Booking Data

  • Pickup and drop-off locations
  • Booking dates and times
  • Vehicle and driver assignments

3. How We Use Your Information

  • Authenticate your identity via Google Sign-In
  • Create, update, and delete calendar events for your bookings
  • Display your calendar availability for scheduling
  • Send booking confirmations and notifications via email
  • Calculate routes and travel times using Google Maps

4. Google Calendar Data Usage

We request access to your Google Calendar to:

  • Read your calendar events to show availability and prevent scheduling conflicts
  • Create calendar events when bookings are confirmed so they appear on your calendar
  • Update or delete calendar events when bookings are modified or cancelled

We store a Google refresh token securely in our database to maintain calendar access. We do not share your calendar data with any third parties. We only access calendar data necessary for the booking functionality described above.

5. Data Storage & Security

Your data is stored securely in a PostgreSQL database hosted by Supabase with row-level security policies. Authentication tokens are encrypted and stored securely. We use HTTPS for all data transmission.

6. Third-Party Services

We use Google services for authentication, calendar integration, and location/routing.

7. Access

This application is restricted to members of ASD Support UK. Only users with an @asdsupport.co.uk Google Workspace account can access the service.

8. Data Retention

We retain your data for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us.

9. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Revoke Google Calendar access at any time through your Google Account settings
